TERMS & CONDITIONS

 

We ask that you take the time to read all the information below before signing. If you have any queries or questions about any of the points, please don’t hesitate to contact us and we will be happy to talk through them with you.

 

Marquee Kitchen Requirements

 

Marquee weddings will require a few extra things: a minimum of six-metre squared marquee kitchen, including ample trestle tables (minimum 6), electrical points, access to fresh water and refrigeration space. Please talk to your marquee company / bar company about providing these. If this is not possible, we are happy to provide a separate quote. 

Kitchen equipment is included if your event meets the minimum guest numbers. If not, we will quote accordingly. 

 

Cutlery, Crockery & Linen Hire

 

Included in our food prices are white napkins, silver cutlery, and crockery selected to enhance the presentation of each dish. If you would like to use gold cutlery or include a charger plate, please let us know and we will quote accordingly. 

 

We are happy to help organise tablecloth hire for the day; however, this is not included. Please let us know your requirements and we will source a quote from our recommended supplier. 

 

Food Service

 

We have a fabulous team of staff who have worked with us year on year. We pride ourselves on our friendly, approachable yet professional service.

 

 

Tasting Sessions

 

Private tasting sessions are available for couples who have booked with us to try their chosen menu (maximum one starter, one main and one dessert). If your quotation is over £5000 before VAT, then this is complimentary. If your quotation is below £5000, private tasting sessions are costed separately. We are only able to accommodate private tasting sessions during the off-peak season between November and January.

 

Quotation

 

We know there is a lot to take in, but we hope you have enjoyed reading through our menus. If you would like us to provide a quote for your event, please provide the following information:

Venue and Date, your desired menu (canapés, 2/3 courses plated, 2/3 courses shared, tea & coffee and evening food), estimated timings for the wedding day.

 

All first quotes are complementary, for subsequent quotes a £15 fee will be charged per quote. If you are booking more than two years in advance, we will provide a preliminary quote and all costs will need to be reviewed closer to your event date.  All quotes are valid for six weeks from the date of issue. 

 

Allergies & Dietary Requirements

 

We have experience catering for any dietary requirements or allergies that you or your guests may have. If this is a big consideration for your wedding, we are very happy to advise you on a menu best suited for your guests' needs.

 

Sharing Style

 

Please consider your table decorations and floral arrangements if you are opting for a sharing-style menu as platters will need to be placed in the centre of the tables, we are always happy to advise on the best way to do this. Once your sharing menu has been chosen, we are happy to suggest a vegetarian dish that will complement your chosen salads and sides. There is no reduction in price for vegetarian meals.

 

Guest Count

 

We require your final number of guests (Guest Count) for your event no later than one month prior to the event. If the actual number of your guests at the time of the event is larger than the provided guest count, you will be charged for the additional guests in attendance at the per guest rate stated in your quote. We will not discount or reduce the price if the number of guests at the time of the event is less than the guest count provided.

 

Payments & Deposits

 

Deposits - A non-refundable deposit of £500 is required to confirm the booking and reserve the desired date. Your failure to pay the deposit on time shall render this catering contract null and void. We accept payment made by BACS only. 

Payment – The final payment is due no later than 4 weeks before the event date. See the Payment Structure section of your final quote for details. 

Failure to pay or late payment on either payment, including the deposit, will be considered a cancellation of this catering contract. Any event booked less than 4 weeks from the event date must be paid in full at the time of booking.

 

Cancellations & Refunds

 

Should you cancel your event at any time, for any reason, we are unable to refund any monies paid. If your event is cancelled after your second payment, but before the final payment, we will waive the final payment.

 

If your event is cancelled within 4 weeks of the event date, for any reason, including (but not limited to) acts of God, weather, cancellation by venue, location or change of heart, we will not refund any monies paid. 

 

By cancelling your event, you acknowledge that Thyme & Time Again will suffer damages (cost of goods, suppliers, staffing etc.) which will need to be recovered. You agree that these liquidated damages represent a fair and reasonable estimate of the losses and expenses Thyme & Time Again would sustain because of the cancellation of this catering contract.

 

Given that actual damages are uncertain and not susceptible to an exact measurement, refunds on any accrued cost that falls under the event coordination services and rentals will be determined at the time of cancellation. 

 

Thyme & Time Again reserve the right to cancel this catering contract at any time if given due cause. If such a cancellation is for reasons beyond our control, the company will not be liable for any damages because of this cancellation. 

 

Failure to pay any monies owed on the dates set in your quote could result in Thyme & Time Again cancelling this catering contract if we have reasonable suspicion that these monies will not be collectable. In this case, we will hold any monies paid until the point of cancellation. 

 

In exceptional circumstances, we can transfer your £500 deposit to a new date. We will only transfer a deposit and reschedule a date once. This will be subject to our availability, if we are unable to accommodate the new event date, your deposit will not be refunded. If you are considering moving your wedding date, we ask that you please contact us as soon as possible.

 

Wedding Insurance

 

We highly recommend that you take out a wedding insurance policy to protect you in the unlikely event of cancellation.

 

Minimum Charges & Guest Counts

 

Our minimum charge per person is £45 for all events.

From April to October, we have a minimum guest count of 60 Day Guests & and 60 Evening Guests. We allow for a 10% drop in your guest count from your original quote, but not below 60. 

 

During the Off-Peak Season (November –May), there is no minimum guest count, however, we have a minimum spend of £1500. 

 

Food & Service Hygiene

 

We take hygiene seriously. Our chefs and front-of-house team are trained to operate in a way that creates a safe environment for your event. Our front-of-house team will wear the appropriate PPE depending on Government Covid safety guidance.

 

Menu Cost

 

All menu prices are subject to change based on market prices of food and ingredients. If there is a significant increase in any market price, Thyme & Time Again will notify you of the contract price increase. If you do not agree to the new price, we will propose alternative menu items to maintain the agreed quotation. 

 

If you do not agree to the proposed substitution, then Thyme & Time Again may cancel this catering contract without further obligation.

VAT is additional to all quoted prices.

 

Information Required

 

For us to provide you with excellent service on the day of your event, we will require the following information from you no later than four weeks prior to the event.

 

Table Plan– Marking clearly where all guests are seated including any dietary requirements or allergies. Detailing all table numbers with names clearly stated. 

 

Apre-Order – A list of all starters, main and dessert choices from guests. If offering a choice for each course, you must provide a personalised menu for each guest clearing stating their selections. 

 

Running Sheet– A comprehensive running sheet of the day’s events

Failure to provide any of the information required within the timescale above, you acknowledge that we will not be held responsible for a standard of service that is anything less than excellence. 

 

Confirmation

 

To confirm your booking, we ask you please return this form, signed, and dated to confirm your acceptance of these Terms & Conditions along with your deposit payment. Please confirm once your deposit payment has been made and we will send remittance and booking confirmation.
